- Third-party integrations — Hundreds of apps connect to QuickBooks Online, including payment processors, time tracking tools, CRM systems, and receipt capture apps. This makes it easier to build a system that fits your workflow.
- Automatic updates — You always have the latest version without downloading or installing anything.
QuickBooks Desktop: The Basics
QuickBooks Desktop is installed directly on a specific computer. The data file lives on that machine or on a local network. It has been around longer than the online version and still offers some features that QuickBooks Online does not.
QuickBooks Desktop may be the better choice if:
- You have complex inventory tracking — Desktop handles advanced inventory features like assemblies, lot tracking, and FIFO costing better than Online.

What We Recommend for Service Businesses
For the majority of service businesses we work with—contractors, home service companies, professional service firms, and similar businesses—QuickBooks Online is the better fit. The ability to collaborate in real time with your bookkeeper, the automatic bank feeds, and the flexibility to access your data from anywhere outweigh the advanced features Desktop offers.
QuickBooks Online Simple Start or Essentials plans work well for businesses with straightforward needs. If you need more detailed reporting, class tracking, or project-based accounting, QuickBooks Online Plus or Advanced tiers add those capabilities.
What About Switching from Desktop to Online?
If you are currently on QuickBooks Desktop and considering a switch, the migration is doable but needs to be handled carefully. QuickBooks provides a built-in conversion tool, but it does not always transfer everything cleanly. Custom reports, memorized transactions, and certain historical data may need manual attention.

That said, QuickBooks has the largest market share among small businesses in the United States, which means more accountants, bookkeepers, and CPAs are familiar with it. Finding support and resources is easier with QuickBooks than with any other platform.
